Responsibilities :
1. Manages, coordinates and directs an administrative support team in order to ensure that the field operational team can maintain focus on flawless execution and profitability.
2. Drive implementation and standardization of central admin process
3. Responsible for contract renewal process, productivity & cost efficiency in planning & scheduling of front line delivery team, billing & collection as well as operational productivity analysis & reporting in support of business reviews & forecasting.
4. Serve as an active member of the area leadership team.
5. Manages a team of administrative support functions, such as Service/Contract/Billing & Collection Coordinators, etc.
6. Scope: S&S / Ind Ref - Geographical scope : Region / Area
7. Manages for a defined area all contract related administration, including the contract renewal process. This includes scope reviews, document preparation, compliance checks on contractual terms & conditions, pro-actively & timely contacting of customers to ensure renewals are initiated, etc. Transfers any potential renewal risk to field operations team.
8. Upon consultation and in close collaboration with the Field Ops Team Leader, coordinates for a defined area the long term forecasts and ad hoc scheduling of the front line delivery team in order to ensure flawless contract execution and timely response to customer needs.
9. Manages the billing & collection process for a defined area, including review of work in progress status versus billing, days to invoice and actively strive for collecting all outstanding invoices. Defines appropriate action to improve status on both billing & collection.
10. Supports the business review & forecasting process though providing data analysis & reporting (e.g. contract renewals, technician productivity, inventory control, unbilled, days to invoice, credit to invoice, accounts receivable, etc.)
11. Recruit, hire and retain admin support teams to maintain proper staffing levels.
12. Prepare and deliver clear performance expectations, performance reviews, coaching and development plans for all admin support team members.
13. Ensure admin support teams are trained and updated on the Companys tools & processes and ensure that all relevant data in entered in a timely and accurate manner. Champion continuous improvement culture in work execution.
14. In addition to the above mentioned tasks, other activities and responsibilities may be individually defined.
